WORK AI CREW · LOCAL AI AGENCY GUIDES
AI agency cost for a small business depends on the job being built, the systems involved and the support you need afterward. To compare proposals, ask for the setup price, recurring fee, usage allowance and charges for changes. A monthly headline price alone does not show the full investment.
SetupPlanning, configuration and testing.
ManagementSupport and agreed ongoing work.
UsageVolume and third-party charges.
01
What does the setup fee cover?
The setup scope may include understanding your workflow, preparing approved answers, configuring an assistant, connecting software and testing the handoff to your staff. Ask which of these are included and what information your team must supply.
A project using one channel and one existing integration is a different scope from a project that updates several systems with different permissions and exception rules. The proposal should identify those dependencies and explain what happens if access is unavailable.
Agree on what counts as ready to launch. That could include successful sample inquiries, correct record creation, staff access and a documented process for handling errors.
02
What should a monthly fee include?
A recurring fee should name the ongoing work. It may cover monitoring, reviewing errors, maintaining approved information and a defined amount of adjustments. Ask about support hours, response expectations and who is responsible for the software subscriptions.
Clarify the difference between correcting an agreed function and adding a new one. Connecting another business location, supporting an additional language or building a different workflow may require a separate scope.
For AI receptionist projects, ask who updates hours, routing and service details. For office automation, ask who handles changes in the connected systems.
03
Which usage and third-party costs should you check?
Ask which activity is metered: call minutes, messages, model requests, workflow runs or another unit. Check included allowances, overage rates and whether usage is shared across locations. Ask for an example invoice at your expected volume.
Also clarify whether phone numbers, software seats, integrations or hosting are paid directly by you or passed through by the agency. A budget alert is different from a hard spending limit, so ask what happens when you approach the allowance.
These are items to check in a proposal, not a claim that every project incurs every charge. Work AI Crew’s applicable fees and third-party costs should be confirmed in a written scope.
04
Compare the full cost over the same period
Use the same time period for each proposal: setup + recurring management + estimated usage and third-party costs + agreed extras. Include the staff time needed for onboarding and review when deciding whether the project is worthwhile.
Illustrative budget—not a quote or market average
- One-time setup: $1,000
- Monthly management: $400
- Estimated monthly usage: $100
- First month: $1,500
- First three months: $2,500
- First twelve months: $7,000
These hypothetical figures exclude taxes, staff time and any additional charges. Actual pricing requires a scoped proposal.
Ask about minimum terms, cancellation, data export and ownership. A lower monthly price may describe a narrower service; compare deliverables before choosing.
05
Calculate the business value without double counting
For a revenue project, use the contribution from additional completed work after its direct delivery costs. Suppose a hypothetical customer leaves $250 in contribution and the ongoing system cost is $500 a month. Two additional customers cover that ongoing cost; setup has not yet been recovered.
Using the three-month example above, $2,500 divided by $250 means ten additional customers would be needed over that period to cover those project costs. This is break-even arithmetic, not a promise that the system will produce those customers.
For a time-saving project, count the time for the entire process, including checking and correcting output. Ten hours freed up does not automatically reduce payroll. It may create capacity for other work instead. Avoid counting the same benefit as both cash savings and new revenue without explaining how each occurs.
06
Get a quote for one clearly defined outcome
Tell the agency your approximate inquiry or task volume, current tools, review needs and desired outcome. Request a proposal with included work, exclusions, usage assumptions and a way to review progress.
